Job Purpose
To provide efficient administrative, clerical and operational support to ensure the smooth running of the Embassy’s day-to-day activities.

Key Duties and Responsibilities

Receive, record, sort and distribute incoming and outgoing correspondence.
Maintain accurate physical and electronic filing and records-management systems.
Prepare letters, reports, minutes, forms and other routine official documents.
Handle telephone calls, emails, visitors and general enquiries professionally.
Schedule meetings, appointments and other official engagements.
Assist with preparation and coordination of meetings, events and diplomatic functions.
Maintain office stationery, supplies and equipment and raise requisitions when required.

Assist with travel arrangements, accommodation and logistical arrangements for officials.
Provide support to consular, finance, ICT, protocol and other Embassy sections as required.

Typical Qualifications

KCSE or equivalent; a Certificate/Diploma in Business Administration, Secretarial Studies, Office Administration or a related field is an advantage.
Computer literacy, particularly Microsoft Office.
Good written and spoken English.
Strong organisational and communication skills.
Ability to maintain confidentiality and work under pressure.
Previous clerical/administrative experience is an advantage.

For a Kenyan government-style Clerical Officer II position, KCSE and a certificate in computer applications can be sufficient at entry level, although Embassy positions may set higher requirements.
